Position Summary

Are you ready to take on a new challenge?

We are seeking a dynamic and detail-oriented General Services Specialist to join our team in Belgrade (Head Office & Factory Surčin). This is a position that will provide support to both locations. The role will primarily focus on general administrative tasks, but will also involve supporting internal communication initiatives, event coordination, and employee engagement activities.

A day in the life of General Services Specialist

  • Manage incoming and outgoing mail, including distribution of mail, faxes, invoices, and packages. Prepare and organize outgoing mail in collaboration with courier providers.

  • Answer phone calls, take messages, and greet guests, ensuring they are directed to the appropriate staff members.

  • Coordinate travel and lodging arrangements for staff and company visitors.

  • Cooperates with SHE Manager and outsourcing agency that is providing continuous services in the field of safety and health at work and ensures that all records are maintained; In cooperation with the agency takes care of the implementation of fire protection and work safety regulations; Organize trainings in the field of safety and health at work and fire protection.

  • Prepare General Serviced inputs for salary.

  • Responsible for compiling notes, meetings organisation and regulating travel expenses for NimCom members.

  • Placing orders and distribution of baby formula – for NA employees.

  • Assess office material and supply needs, and place orders accordingly.

  • Ensure the cleanliness of the kitchen and coordinate cleaning services as needed.

  • Support the HR department in recruitment activities, including scheduling interviews, printing resumes, and preparing materials for the Induction Program.

  • Create purchase orders for administrative purposes.

  • Distribute office supplies on a daily basis.

  • Coordinate reservations for company pool cars and rental cars for employees.

  • Assist in coordinating internal communication initiatives, such as the factory newsletter, and explore additional communication channels.

  • Coordinate various events, including All Hands meetings, induction days, and student/employee visits.

What will make you successful?

Ideally, you are a proactive person structured and clear on priorities, proactive, with ability to multitask;

You have 1-2 years of prior experience on similar positions.

University degree in relevant field can be an advantage.

Your service orientation, interpersonal and communication skills are highly developed.

You have excellent knowledge of Serbian & English language, both written and spoken.

You are advanced user of MS Office package.
